Summary

This position will encompass all areas of payroll, from understanding the HRIS data management process, in order to be a full backup, to annual reconciliation of employee tax forms, for the United States, Canada, and Mexico, and everything in between.

 

Responsibilities

  • Responsible for backing up the processing of several payrolls in a unionized complex manufacturing company with U.S. multi-state payroll, Canadian provincial payroll, including experience with garnishments, benefits, and taxes consistent with federal and state/provincial wage and hour laws utilizing various payroll related systems.
  • U S Subject matter expert on all payroll processes and procedures, including but not limited to, off-cycle payrolls, retro-active payments, documenting and updating procedures, tax processing/reconciliation, preparing general ledger entries, etc.
  • Ability to troubleshoot and resolve complex issues related to all aspects of payroll processing,
  • Manage payroll tasks, including processing Expat payrolls, and shadow payrolls for any country required, ensuring accuracy for taxability for this complex group of employees. 
  • This position is responsible for ensuring all technical aspects of payroll related systems are accurate and efficient, including interfaces, and continued improvement for efficient processes within the payroll & HRIS department
  • Working with Smart Compliance to ensure reconciliation of all agency taxable wages, processing Prior Quarter Adjustments, researching and resolving Tax notices, maintaining all SUI rate notice percentages, etc.
  • This position is responsible for of all annual reporting forms in the US, Canada and Mexico including, but not limited to W-2’s and T-4’s.
  • Serving as a liaison between payroll and the accounting department.  Responsible for the mapping of all payroll related codes, in order to ensure an accurate payroll G/L entry, including analysis as well as answering all G/L related questions concerning payroll entries.
  • Run and review payroll reports for accuracy and contact various location personnel for clarification when needed. Import and export interface files and correct out of balance situations.
  • Ensure that Voith is in compliance with federal, state, and local laws and regulations.  Stay current on payroll laws that could have an impact on our business.
  • Responsible for the accurate processing of Wage and Hour rules and regulations for time calculations within Voith systems.
  • Collaborates with the Payroll team, HR Business Partners, Field Services, Shop Supervision and Department Management to gain efficiencies in all HRIS and Payroll processes.
  • Assist with Project Management of HRIS & Payroll related projects, and completing all the related tasks
  • Assist with Payroll related testing as required for all configuration changes, and improvements moving forward
  • Update all SOP’s and checklists as required with changes to configuration and process efficiency changes
  • Be the reporting expert for the Payroll and HRIS departments and gather system data as required for internal and external reporting.
  • Assist with creating training materials in order to educate staff members, supervisors, and employees to be self-sufficient with all payroll and HRIS data.

 

Qualifications

  • High School degree required, Bachelor’s Degree preferred
  • 10+ years of payroll experience
  • CPP Certification required
  • Experience with ADP Workforce Now Payroll preferred
  • Multi-State payroll experience required
  • Canadian payroll experience required
  • Union Payroll experience is required
  • Detail oriented, well organized, high degree of accuracy
  • Must possess strong customer service, follow up, and communication skills
  • Strong computer skills utilizing Microsoft Word, Excel, and Outlook
  • Ability to work under time constraints and prioritize to meet deadlines
  • Ability to navigate through complex project improvement initiatives
  • Able to work as part of a team and individually
  • Must possess a high level of confidentiality with zero tolerance
  • Experience working with a time and attendance system- ETIME or Dimensions system preferred
  • Experience working with a request/ticketing system a plus
