Responsibilities:

  • Coordinate customer submittals & receptions, by maintaining register and portal.
  • Inform the project team about documents reception from the customer.
  • Ensure proper document tracking using available tools from customer and internally.
  • Review contract documents for administrative requirements and establish plans for executing and completing these requirements. 
  • Supports project team for document submittal planning considering project time schedule and contractual requirements
  • Disseminate pertinent project information to applicable functions timely and effectively to ensure proper execution of the contract.
  • Assists other engineering administrative function in document submittal tasks (field service document distribution and printing, upload of documents in ECTR)
  • All planned administrative requirements are completed accurately and dependably (i.e. all reporting, meeting coordination, maintenance of files).
  • Support implementation of SAP document register within Voith Hydro.
  • Support continuous improvement initiatives to improve the documentation process.
  • Obtain, review and monitor applicable data for project status and forecast reports.

 

Principal working relationships:

Lead Engineer

  • Assist in the administration of the project mainly in respect to engineering document planning, tracking and submittal.

Project Management

  • Communicate the submittal and retainage of project related documents per contract requirements and those engineering documents requiring customer approval.

Field service & Commissionning team                    

  • Assist in the administration of the project mainly in respect to field service documents distribution & printing, tracking and submittal.

Quality team     

  • Assist in the administration of the project mainly in respect to quality documentation submittal & reception.


Qualifications: 

  • Associates degree of Document Management or Business Administration or a combination of equivalent experience may be considered in lieu of college degree
  • Minimum of two (2) years of experience in project/contract administration desired

 

Other qualifications or requirements

  • Ability to complete assigned tasks with moderate supervision
  • Ability to work with new software or customer portal (SAP, Teams, Sharepoint, etc)
  • Knowledge of Microsoft office suite (especially Microsoft excel)
  • Excellent communication and organizational skills combined with a high degree of accuracy and attention to detail
  • High degree of integrity due to the confidential nature of the position
  • Skill, tact and ability to communicate orally and in writing with fellow employees and outside agencies in a professional and competent manner
  • Responsible for approximately 5 to 10 contracts at any one time

 

Summary

This position is an administrative function, including but not limited to support the project team with the customer submittals & receptions and tracking of project related documents.  In this position, one must be capable of effectively and accurately working on several projects at one time, organizing and prioritizing tasks, and developing and maintaining positive internal and external customer relations.
