Summary

The Senior Payroll Specialist will be responsible for accurate and timely processing of US and Canadian payrolls for both exempt and non-exempt employees.  This role will work closely with the payroll team ensuring processes are properly documented and managed, with a focus on continuous improvement. The Senior Payroll Specialist will be responsible for supporting and mentoring the payroll specialists on more complex payroll topics.  

 

Duties and Responsibilities:

 

  • Responsible for processing US and Canadian payrolls in a complex manufacturing and services company including knowledge on the following:
    • U.S. multi-state and Canadian provincial payroll processing
    • Subject matter expert on all payroll processes and procedures, including but not limited to, off-cycle payrolls, retro-active payments, documenting and updating procedures, preparing general ledger entries, etc. within ADP WFN
  • Ensures timely and accurate generation/validation of post payroll reports.
  • Responsible for the processing and reporting of voluntary and involuntary deductions such as Garnishments, Union Dues, Benefits, etc. as well as ensuring accuracy in the auditing, reporting, and recordings of all deductions.
  • Ensure Voith is compliant with federal, state, and local laws and regulations.
    • Stay up to date on payroll laws that have a direct impact on the organization.
    • Research and resolve Tax agency notices in the US and Canada
    • Review and maintain taxes consistent with both federal and state wage and hour laws using the ADP Smart Compliance platform.
    • Assist with reviewing and processing quarterly and year-end tax filings.
  • Data Integrity:
    • Analyzing data to determine root causes and working with team on continued process improvement.
    • Update and maintain payroll process and reporting documentation.
    • Perform routine audits to ensure accuracy of system.
  • Create and/or run a variety of reports via ADP WFN, eTime and Smart Compliance, based on customer needs.
  • Knowledge and understanding of Time and Attendance systems- including Wage & Hours Rules and Regulations, both Federal and State as well as company and union rules.
  • Answer all G/L related questions pertaining to payroll process/accounts.
  • Maintain the GL mapping within WFN and ensure accurate data is being provided to the accounting team.

 

 

Required Skills/Abilities:

  • Excellent interpersonal, verbal, and written communication skills
  • Advanced critical thinking with an ability to analyze complex problems, identify root causes, interrelationships, and dependencies in order to craft effective solutions.
  • Sound knowledge of the payroll function including preparation, balancing, internal control, payroll taxes, multi-state regulatory requirements
  • Proficient with Microsoft Office Suite or related software; must have advanced Excel skills.
  • Excellent organizational skills, attention to detail with a strong analytical and problem-solving skill set.
  • Ability to prioritize tasks and to delegate them when appropriate.
  • Ability to function well in a high-paced and at times stressful environment.
  • Can work in a group setting or independently as a self-starter.

 

Education and Experience:

  • Associate degree in business or accounting
  • 10+ years of experience in HRIS/Payroll data
  • Working knowledge of Success Factors – Employee Central and ADP/eTime is a plus
  • Multi-State Payroll Processing
  • Canadian Payroll Processing
  • Union Payroll Processing
  • Certified Payroll processing, tracking and Reporting.
  • CPP certification is a plus.

 

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
