Site Contract Administrator

Summary:

Voith is looking for a Site Contract Administrator (SCA) to join our Commercial and Project Management teams on-site for the duration of specified project.  The Site Contract Administrator (SCA) serves as the on-site commercial representative responsible for documenting project events, supporting contract compliance, preserving contractual entitlements, and assisting in the management of change orders, claims, and variations. Working closely with Site Management, Project Management, and Commercial Management teams, the SCA helps ensure timely identification and documentation of project impacts, risks, and opportunities.

The SCA will work closely with Site and Field Services personnel, as well as Commercial, Contract Management, and Project Management teams, providing timely documentation, analysis, and commercial support to facilitate informed decision-making.

 

Responsibilities:

  • Track contract milestones, deliverables, project schedule and payment schedules to ensure timely execution and compliance
  • Prepare reports summarizing contract status, financial exposure, and potential risks for management review
  • Monitor contract performance and ensure all parties adhere to scope, budget, and timeline requirements.
  • Ensure compliance with company policies, local regulations, and industry best practices in all contract activities.
  • Prevent lost entitlement by making sure delays, changes, customer directions, access issues, and field conditions are documented immediately.
  • Identify, document, and communicate potential delays, disruptions, suspensions, or other project impacts to Commercial and Project Management teams.
  • Assist in the preparation and tracking of Project Change Notices by capturing facts, photographs, schedule impacts, field conditions, and customer directives.
  • Support the timely resolution of contractual issues and disputes through fact gathering, documentation, and coordination with project stakeholders.
  • Track contractual notice requirements and support preparation of notices related to delays, disruptions, changes, or other contract events.

 

Requirements:

  • Bachelor’s Degree in Business Administration, Engineering, or related field.
  • 3 + years experience working on an active construction site. 
  • Strong knowledge of contracts, clauses, and ability to resolve complex contractual issues.
  • High level of accuracy in reviewing and managing complex contractual documents.
  • Excellent written and verbal communication skills for liaising with clients, vendors, and project teams.
  • Ability to identify risks, analyze contract terms, and recommend mitigation strategies.
  • Strong time management and multitasking abilities to handle multiple projects and deadlines simultaneously.
  • Comfortable operating in fast-paced, evolving project environments and shifting priorities.
  • Use of Personal Protective Equipment, Ability to stand for extended periods of time, ability to ascend/descend multiple flights of stairs/ladders, ability to follow all on-site and job-related safety requirements and plans.
  • This position requires a full-time, on-site presence at the job site in Ludington, MI.  The role requires regular on-site attendance, including up to six days per week during critical project phases. Flexibility and availability to support the project schedule are essential.
  • Proficient with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
