Field Service Coordinator

Summary:
The Field Service Coordinator is responsible for quoting, scheduling, and managing field service orders. This position reports directly to the Director of Service. Job duties include regular communication with customers and Voith internal Regional Sales Managers to discuss the required service scope and resources for each service job. This position will manage the required spare parts for service jobs by communication with the responsible Customer Service Specialists. Excellent SAP CS (Customer Service) skills are required for this position. The Field Service Coordinator will coordinate and schedule emergency and planned field service activities according to Voith’s Product Portfolio Guidelines and Directives. The responsibilities include working with Applications, Sales, and Project Management to estimate and coordinate resources for equipment installations, rebuilds, and regular field service jobs.
To be successful in this position the candidate needs to have a very good understanding of stock preparation, paper machine operations and paper mill service requirements. Good communication skills to discuss service needs and service requirements with customers is a must.
Responsibilities:
- Provide customer specific mill safety requirements to each Field Service Technician prior to the service job.
- Support of the Technical Service Experts with equipment documentation and drawings
- Work in a team with other Field Service Coordinators and service group leaders to manage group schedules and service jobs
- Estimate service costs and determine quote price levels
- Prepare quotes in SAP CS according to Voith guidelines – training will be offered
- Prepare service contracts in close coordination with service group managers and customers
- Strong customer focus and the ability to understand customer needs
- Support the implementation of Salesforce ticketing system
- Manage required spare parts for service jobs and review with Customer Service Specialists (CSS) order and shipment status of needed parts
- Customer service hotline – On call for one week every two months
- Monitor service orders to ensure that they stay within budget
- Risk analysis for large scale service proposals
- Review of field service reports and distribution to customers and Voith internal resources
- Prepare and review time sheets and expenses for invoicing – transfer of information to accounting group
Requirements:
- Associate or Bachelor’s degree in Business Administration or Mechanical Engineering
- Strong mechanical aptitude.
- Proficient in Windows based programs such as Word, Excel, Power Point, and Outlook.
- SAP CS experience
- Strong communication skills, verbal, and written.
- Excellent customer relations skills.
- Paper industry experience
Physical Demands:
Employees in this position are regularly required to walk, stand and use hands to finger, handle or feel. They are frequently required to reach with hands and arms. They are occasionally required to sit, stoop, kneel, crouch, or crawl and talk or hear and regularly required to lift 10 pounds and occasionally required to lift up to 25 pounds. Safety glasses, hearing protection and other PPE are required in designated areas.
